DELIVERY, CANCELLATION AND REFUND POLICY

1. Scope

This Policy governs the conditions relating to service delivery, registration cancellation, and fee refunds for TRIBOSURF Conference registrations made through the website www.tribosurf.com.

Participants who register and make payment through the website shall be deemed to have accepted the conditions set out in this Policy.

2. Nature and Delivery of the Service

The service provided through www.tribosurf.com consists of registration for and participation in the TRIBOSURF Conference. No physical product is sold, shipped, or physically delivered within the scope of this service.

Following the successful completion of payment and the matching of the payment information with the Participant’s registration details, the Participant’s Conference registration shall be created.

Registration confirmation shall be sent electronically to the email address provided by the Participant during registration. The registration process shall be completed no later than three business days following the successful completion of payment.

The Participant acknowledges that the full name, institution, email address, and other contact details provided during registration are accurate and complete. The TRIBOSURF Organization shall not be held liable if the registration confirmation cannot be delivered due to incorrect or incomplete information provided by the Participant.

If the registration confirmation is not received, the Participant must contact the Organization at tribosurf26@gmail.com.

3. Registration Cancellation Requests

Registration cancellation requests must be submitted in writing to tribosurf26@gmail.com.

The cancellation request must include the following information:

• Participant’s full name,

• Email address used during registration,

• Payment date,

• Payment amount,

• Payment or order reference number, where applicable,

• A brief explanation of the cancellation request.

Participants must not share card information such as the card number, card password, expiry date, or CVV security code by email when submitting cancellation or refund requests.

4. Cancellation and Refund Conditions

The following conditions shall apply to registration cancellations requested voluntarily by the Participant:

• For cancellation requests submitted 30 days or more before the Conference start date, the full registration fee paid shall be refunded.

• For cancellation requests submitted between 15 and 29 days before the Conference start date, 50% of the registration fee paid shall be refunded.

• For cancellation requests submitted 14 days or less before the Conference start date, the registration fee shall not be refunded.

Failure of the Participant to attend the Conference or attendance at only part of the Conference programme shall not automatically entitle the Participant to a refund of the registration fee.

The organizational cancellation conditions set out in this Article do not eliminate or restrict consumers’ statutory rights concerning withdrawal, termination, defective services, or any other rights arising under applicable legislation.

5. Processing of Refunds

Where a right to a refund arises and the refund request is approved, the refund shall be made through the iyzico system to the payment method originally used for the transaction.

Approved refunds shall be processed within no more than 14 days. The time required for the refund to appear in the credit card or bank account may vary depending on the processing and settlement periods of the relevant bank.

The time required for the refund to appear in the bank or credit card account is beyond the control of the TRIBOSURF Organization.

Refunds required under consumer protection legislation shall be made without imposing any additional cost on the Participant and through a method compatible with the payment method used at the time of purchase.

6. Cancellation of the Conference

If the Conference is completely cancelled by the TRIBOSURF Organization, the registration fees paid by Participants shall be refunded in full without any deduction.

The refund shall be made to the payment method used by the Participant during payment. The time required for the refund to appear in the bank or credit card account may vary depending on the processing times of the relevant bank.

7. Postponement of the Conference

If the Conference is postponed, existing registrations shall remain valid for the new Conference date.

If the Participant is unable to attend the Conference on the newly announced date, a written refund request may be submitted to tribosurf26@gmail.com within 14 days from the date on which the postponement notice is communicated to the Participant.

Requests submitted within the applicable period shall be reviewed, and registration fees deemed eligible for refund shall be returned to the payment method originally used.

8. Programme Changes

Reasonable changes to the scientific programme, speakers, session times, Conference halls, or social event programme shall not be considered a cancellation of the Conference.

Such programme changes shall not, by themselves, constitute grounds for a refund of the registration fee. Participants’ rights arising under applicable legislation are reserved.

9. Force Majeure

The Conference may be postponed, cancelled, or held online due to force majeure events such as natural disasters, epidemics, war, acts of terrorism, strikes, suspension of transportation, decisions of public authorities, infrastructure problems, or similar circumstances occurring beyond the reasonable control of the Organization.

In such cases, the applicable registration transfer, postponement, or refund conditions shall be announced through the website www.tribosurf.com and the email addresses provided by Participants during registration.

Participants’ rights arising under applicable legislation are reserved.
